Have questions about applying for a stall, what’s included, or how the festival works? You’re in the right place. This section covers the most common queries from stallholders—whether you're new to the festival or a returning participant.

Applications, payments and changes
How do I apply?
Visit the online application portal to register and complete your stallholder application form. Applications are open from 5pm 15 July to 5pm 26 August 2025.
What if I need to update my application?
If applications are still open, use the same link you received and click through to the end. Make sure you hit “Confirm” at the end, or your changes won’t be saved.
If applications are closed, email us at inbox@multiculturalfestival.act.gov.au with the updates you need.
Can I update my agreement?
Yes. If something in your Stallholder Agreement is incorrect, don’t sign it. Email inbox@multiculturalfestival.act.gov.au and let us know what needs changing. We’ll send you an updated version.
Do I need to pay a bond?
No. There is no bond for the 2026 festival.
How can I pay?
You can pay by bank transfer (EFT) or cheque once an invoice has been issued to you. If you need another payment option, call us on (02) 6207 8698 or email inbox@multiculturalfestival.act.gov.au.
Can I pay in instalments?
Stall setup and size
Can I choose where my stall will be located?
You can let us know if you’d like to be near a particular group or area. We’ll do our best but can’t guarantee all requests. Stall placements are planned carefully for safety and variety.
When will I find out where my stall is?
Stall locations will be shared in January 2026, once:
- You’ve paid your fees, and
- You have all necessary approvals or permits.
More information will be given at the induction sessions.
Can I have a bigger stall?
Stalls are usually 3m x 3m. Some may be 3m x 6m. We try to fit in as many stalls as possible to celebrate more cultures, so your space might be limited.
Can I have more than one stall?
We usually allow one stall per group. If you’re running both a food stall and an information stall, please email us to ask about options. Approval depends on available space.
Can I change my stall needs?
Yes—up to three weeks before the festival. Later requests might not be accepted or may have extra costs. Email changes to inbox@multiculturalfestival.act.gov.au.
Why can’t I use my own marquee or umbrella?
For safety, all marquees and structures must be supplied by the festival’s approved contractors. This helps us manage risks like strong winds, trees, lights, and nearby roads. If you bring your own umbrella or marquee, you’ll be asked to remove it. But you’re welcome to decorate your stall (safely!) to show your style.
Can I share a stall with another vendor?
No, stalls must be occupied solely by the organisation that submitted the original stallholder application. Stalls cannot be on-sold, sub-let, or transferred under any circumstances.
Applicants may be required to provide evidence that any funds raised directly benefit the community organisation named in the application.
The only exception to this is where there is an auspicing or sponsorship arrangement in place with another organisation. Such arrangements must be approved in writing by the festival team prior to the event.
Can I display things outside my stall?
No. All items — like signs, decorations, and equipment — must stay inside your stall space (3m x 3m or 3m x 6m). Nothing can go behind or beside your stall. You can decorate the front of your stall as long as it’s safe, tidy, and doesn’t damage the marquee. Use rope or cable ties to attach items. All signs must be clear and include prices and dietary info (if selling food). Items outside your stall may be removed. You must take down anything the festival team asks you to.
Bump-in, vehicles and access
Can I drive in to set up?
Yes – but only at your set bump-in and bump-out times. You’ll get these times before the festival. You’ll also need a vehicle pass. Some stalls won’t have direct vehicle access. We’ll explain how this works at the compulsory induction session.
When can I set up and pack down?
Bump-in (setting up) and bump-out (packing down) times are scheduled each day to make sure access to the festival is safe and well-organised.
- Bump-in starts at least 4 hours before the festival opens each day
- Bump-out happens after trading finishes for the day.
Vehicles will only be allowed onsite when it is safe. Festival staff or security will let you know when it’s safe to bring your vehicle in.
Is there parking?
Yes – paid parking is available in the city, but it is in high demand over the festival weekend, and is not supplied by the festival. We recommend public transport, rideshare, or carpooling.
Can I bring my own generator or power board?
No. The festival will supply power and leads. Each powered item must be listed in your application and will have a cost.
Food and menus
Why do I have to give my menu so early?
Can I prepare my food at home?
No. To keep everyone safe, all food (including free samples) must be prepared in a commercial kitchen or cooked at the festival. If you are part of a community group, you can use a commercial kitchen at a school or community centre. Visit www.act.gov.au/health/businesses/food-safety-for-businesses for more details.
Do I need ACT Health registration?
Yes. If you are making, serving, or selling any food or drinks (including alcohol), you must have ACT Health registration. This is because the festival is a "Declared Event". More details will be shared in your information pack and induction sessions
Do I need a liquor licence?
Yes, if you are selling alcohol, you must apply for a liquor permit through Access Canberra. This permit has a separate fee. More information will be shared at the induction session. If you are only giving small free samples (not selling), you don’t need a permit—but you must still tell the festival team what you’ll be serving.
What food safety rules do I need to follow?
All successful stallholders will get food safety information in their info pack and induction. You can also visit ACT Health’s food safety page for more information.
Requirements and rules
Do I need insurance?
Yes. You must have Public Liability Insurance for at least $10 million. Short-term options are available. We also suggest getting event insurance to protect against things like cancellations or weather. The festival team and ACT Government are not responsible for lost or damaged items.
Is there overnight security?
Yes – but take your food and valuables with you each night. Power is off overnight. You can leave non-valuable items in your stall and cover it with a tarp or cloth.
Do I need to trade all day?
Yes – you must stay open during full festival hours unless we’ve agreed otherwise. Closed stalls affect the vibe of the event.
How many staff can I have?
There is no set limit, but stall spaces are small. Too many people can make it hard to work. Try rotating staff through the day.
How can I promote my stall?
We’ll help promote your stall – but we need good information from you in your application. You can also post on social media and tag the festival so we can share it. More details will be provided during the compulsory induction sessions and in your information pack.
Can I cancel my stall?
If you need to cancel, email us as soon as possible. No refunds if you cancel less than 2 weeks before the event. If you cancel earlier, we may offer a refund depending on the reason and timing.
Waste, safety and inspections
Do I need to go to an induction?
Yes – all stallholders must attend one session. There will be three options starting in November 2025. We’ll send you the details after you sign your agreement.
What are the waste rules?
We want the festival to be clean and green. You’ll get clear waste and recycling information at the induction session and in your information pack.
Will my stall be inspected?
Yes – at any time. Inspectors might include ACT Health, WorkSafe, Electrical and Gas Inspectors, EPA, TCCS, CRA, and festival staff. You must follow all instructions straight away. If not, you may need to stop trading or even close your stall.
What is a site assessment?
We’ll check your stall during and after the festival. If you leave a mess or cause damage, you may be charged for clean-up or repairs. This helps keep the festival safe and enjoyable for everyone.
Volunteer vouchers
What is the volunteer meal scheme?
Each year, hundreds of volunteers help support the festival. These volunteers receive vouchers to buy meals from participating stalls. If you take part:
- Offer 1–2 menu items for vouchers
- Treat vouchers like cash – you’ll get paid back after the festival
- Scan or take photos of each voucher you receive
- Email the images with your invoice to the festival team

Accessibility and inclusion
What accessible features are there?
We are committed to creating an inclusive and accessible experience for everyone. We offer:

- A quiet space to rest or take a break
- A multi-faith prayer room

Are there any product restrictions?

Do I need to follow COVID-19 rules?
Yes. Follow current public health directions. We’ll let you know if there are any special rules before the festival.

You’ll also get a short survey after the festival to help us improve future events.
What if there is an emergency?
Call 000 right away. Then tell your Precinct Manager or a festival staff member as soon as possible.
